How Harbour Care uses personal information. Last updated: November 2026.
Who we are
Harbour Care is a trading name of Arafel Ltd (company number 17545662), 5 Brayford Square, London E1 0SG. Arafel Ltd is the controller of your personal information. Contact: rich@harbourcare.uk.
What we collect
From the sign-up form: your name, email address, mobile number, and who you care for (for example, a parent or partner).
When we set up calls: the name and phone number of the person being called, the times that suit them, and anything you or they tell us to help the calls go well.
From calls: recordings or transcripts of the conversation, the notes we write from them, and call details such as time and length.
Calls can include information about someone’s health and wellbeing. Under UK GDPR this is special category data and we give it extra protection.
Why we use it, and our lawful basis
- To reply to your sign-up and arrange the beta: our legitimate interests, and steps before a contract with you.
- To make the calls and send you notes: to provide the service under our contract with you.
- For health information from calls: the explicit consent of the person being called. If someone cannot decide for themselves, we will only call them with the agreement of a person with legal authority (a health and welfare attorney or deputy), or where it is in their best interests under the Mental Capacity Act 2005. Otherwise we will not call.
- To keep the service safe and improve it, for example checking that notes are accurate: our legitimate interests.
We do not sell personal information or use it for advertising.
How long we keep it
- Sign-up details: until you join, or for 12 months if you don’t.
- Call recordings and transcripts: up to 30 days, then deleted.
- Notes and account details: while you use Harbour, then up to 12 months after you stop.
- Billing records: as long as the law requires (usually 6 years).
Who processes it for us
We use trusted UK/EU-based providers for hosting, calls and messaging. They act on our instructions under contracts that protect your information. If any data ever has to leave the UK or EU, we will use the safeguards the law requires.
Your rights
You can ask to see your information, correct it, delete it, restrict or object to how we use it, or move it to another service. Where we rely on consent, you can withdraw it at any time. Email rich@harbourcare.uk and we will reply within one month.
Complaints
Please tell us first and we’ll try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
